Assistant Manager, Secretarial Support (Partnership Distribution)

Key Responsibilities

  • You will be responsible to handle the schedule (setting up meetings, via e-invites, distribution agendas and materials, confirm venues) of a C level Executive and handling incoming calls and requests. Additionally, you will be responsible for the following:
  • Arrange international and local travel for the Department and Group visitors.
  • Handle and organizing expenses and reimbursement claims for the Department.
  • Manage and track the Department's budget and expenses
  • Responsible for all vendors’ payment; ensuring that there’s no outstanding payments.
  • Follow-up issues from other departments
  • Tracking and monitor document inventories lists
  • Maintain and requisition of stationery.
  • Upkeep and maintain office equipment.
  • Taking meeting’s minutes and ensuring all follow up actions and status for the next meeting.
  • Organize for all Department events, gatherings, farewells, etc.
  • Champion for Workplace @ Facebook to drive employee engagement
  • Support all companywide events and festivals.
  • Other ad-hoc task as required.


Key Requirements

  • At least Diploma in business administration or equivalent.
  • At least 5 to 7 years secretarial or administrative support experience to senior management/leaders
